Cookie Policy
Last updated
In short: We use as few cookies as we can. Some are strictly necessary to keep you signed in, protect forms and remember your choices, and these are always on. We use privacy-friendly analytics to understand which pages help people, and where the law requires it we ask your consent first. We don’t use advertising cookies or cross-site tracking on our site. You can change your choices at any time from the “Cookie settings” link in our footer or in your browser.
About this policy
This Cookie Policy explains how Open Motives (“Open Motives”, “we”, “us”) uses cookies and similar technologies on our website at openmotives.com, in the app at app.openmotives.com and in the client portal. It applies from 28 October 2026 and should be read with our Privacy Policy, which explains how we handle personal data more generally.
What cookies are
Cookies are small text files that a website saves in your browser. They let the site remember things between pages or visits, such as the fact that you are signed in.
We also use the word “cookies” in this policy for similar technologies, such as local storage, session storage and pixels, which store or read information on your device in a similar way.
- First-party cookies are set by the site you are visiting, in this case Open Motives.
- Third-party cookies are set by another company’s service used on the site.
- Session cookies are deleted when you close your browser.
- Persistent cookies stay on your device for a set period or until you delete them.
How we use cookies
We group the cookies we use into the categories below. We only set cookies that aren’t strictly necessary once you have agreed, where the law requires consent.
Strictly necessary
These cookies make the website and app work. Without them, you couldn’t sign in, stay signed in, or use features you have asked for. They also protect you and us, for example by preventing cross-site request forgery and spotting suspicious sign-in attempts. They also store your cookie choices so we don’t ask on every page.
Because the site can’t work properly without them, these cookies don’t need consent and you can’t switch them off in our cookie settings. You can block them in your browser, but parts of the site and app will then stop working.
Preferences
Preference cookies remember choices you make so the site feels the same each time you come back. Examples include your language, light or dark theme, a dismissed banner, or the last workspace you opened.
In the app, many of these are part of the service you asked for. On our marketing site, we ask your consent where the law requires it.
Analytics
Analytics help us understand how people find and use our site: which pages are visited, where visitors come from and which features get used. That tells us what to improve.
We use privacy-friendly analytics. We configure them to collect as little as possible, to avoid tracking you across other websites, and to report in aggregate rather than profiling individual visitors. Where our analytics tool needs a cookie or device identifier, and the law requires consent, we only use it after you have agreed.
Advertising
We do not use advertising cookies, retargeting pixels or cross-site tracking on openmotives.com or in the app. If we ever decide to, we will update this policy first and ask your consent before setting them.
Cookie categories at a glance
| Category | What it does | Examples | Typical duration | Consent needed? |
|---|---|---|---|---|
| Strictly necessary | Signs you in, keeps your session secure, protects forms, balances load and remembers your cookie choices | Session cookie, security (CSRF) token, two-factor “remember this device”, cookie-consent record | Session, up to 12 months | No |
| Preferences | Remembers settings such as language, theme and dismissed messages | Language, theme, last workspace, dismissed banner | Up to 12 months | Yes on our marketing site, where required by law |
| Analytics | Measures visits and feature use in aggregate so we can improve the site | Privacy-friendly analytics identifier, if the tool uses one | Session, up to 12 months | Yes, where required by law |
| Advertising | Not used | None | Not applicable | Not applicable |
The exact cookies we set can change as we update the site and our providers. If you’d like a current list of cookie names and lifetimes, email [email protected].
Cookies in the app and client portal
The app at app.openmotives.com uses strictly necessary cookies and local storage to keep you signed in, keep your session secure, remember two-factor trust on a device if you choose that option, and keep the app responsive. It also remembers interface preferences, such as which inbox view you last used.
The client portal uses strictly necessary cookies to keep a client’s portal session active after they open a magic link or review link. If an agency uses its own custom domain for the portal, the cookies are set on that domain but work in the same way.
The website chat widget on our customers’ sites
Businesses that use Open Motives can add our chat widget to their own websites. For example, Kettle & Co. might add it to their bakery site so customers can ask about Riverside deliveries.
The widget uses local storage or a strictly necessary cookie to keep the visitor’s conversation going between pages and visits, so they don’t lose their messages. It doesn’t track visitors across other websites, and we don’t use it for advertising.
On those sites, the business running the website decides whether to use the widget and is responsible for its own cookie notice and any consent it needs to collect. If you have a question about cookies on a site that uses our widget, please contact that business.
How to control cookies
Our cookie settings
When you first visit our marketing site from a region where consent is required, we show a banner that lets you accept or refuse non-essential cookies. Refusing is as easy as accepting. You can change your mind at any time using the “Cookie settings” link in the footer of our site.
If you withdraw consent, we stop setting those cookies from then on. Cookies already on your device stay there until they expire or you delete them, but we stop reading them.
Global Privacy Control
If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of any non-essential cookies that would need your consent or an opt-out in your region.
Your browser
Most browsers let you see, block and delete cookies. You can usually find these options in the settings or preferences menu:
- Chrome: Settings → Privacy and security → Third-party cookies or Delete browsing data
- Safari: Settings or Preferences → Privacy → Manage website data
- Firefox: Settings → Privacy & Security → Cookies and site data
- Edge: Settings → Cookies and site permissions
You can also use a private or incognito window, which deletes cookies when you close it. If you block strictly necessary cookies, you may not be able to sign in or use parts of the app.
Mobile devices
On phones and tablets you can manage cookies in your mobile browser’s settings in the same way. Some devices also let you limit tracking or reset device identifiers in the operating system’s privacy settings.
Third-party services
Some features on our site rely on other companies. For example, our payment processor may set strictly necessary cookies on checkout pages to prevent fraud, and an embedded video may set cookies if you choose to play it. Where we embed content that sets non-essential cookies, we will either ask your consent first or load it only when you click to play.
These companies handle the data they collect under their own privacy policies. We choose providers that respect privacy and we limit what they can do with your data through our contracts with them where we can.
Personal data and your rights
Some cookies collect information that counts as personal data, such as an IP address or a device identifier. When they do, our Privacy Policy applies, including your rights to access, delete and object to the use of your data.
The legal basis for strictly necessary cookies is our legitimate interest in running a secure, working website, and, in the app, the performance of our contract with you. For analytics and preference cookies that need consent, the legal basis is your consent, which you can withdraw at any time.
Changes to this policy
We may update this Cookie Policy when we change the cookies we use or when the law changes. We will update the date at the top of the page. If we start using a new category of non-essential cookies, we will ask for your consent again where required.
